C5 ID and Fingerprinting Solutions Inc. (C5 ID)

 

 

C5 ID collects and discloses fingerprints and other personal information in order to facilitate the processing of criminal history searches.  C5 ID is committed to protecting the privacy of personal information in its custody and control.  As part of our commitment, we have prepared this Privacy Statement to describe the manner in which C5 ID collects, uses, and discloses personal information.

 

What personal information do we collect, how do we use it, and to whom is it disclosed?

 

In the course of providing our services, we may collect three categories of information:

 

• Fingerprints;

• Other personally-identifiable information; and

• Information to process the payment for our services.

 

 

Fingerprints and Personal Information

 

We collect your personal information for the purposes of providing it to the Royal Canadian Mounted Police (“RCMP”), other law enforcement authorities, and/or their designated agents (each an “Agency”), to enable such authorities to conduct criminal history searches.  If you have requested a criminal history search using your fingerprints, we will collect and disclose your fingerprints to the Agency.  If you have requested a criminal history search based upon your name and other personally-identifiable information, then your fingerprints will not be collected.

 

We collect the personally-identifiable information directly from the individual subject of the criminal history search, and it may consist of such elements as an individual’s full name, date of birth, place of birth, gender, address, phone number, driver’s license number, passport number, or military identification number, e-mail address, and photograph.  Before a criminal history search can be conducted, we attempt to verify the subject’s identity for the purposes of ensuring the accuracy of the criminal history search that will be retrieved, and we may record information collected from the identification presented for identity verification for administrative purposes. 

 

Upon a written request for a criminal history search, we will disclose the fingerprints (in the case of a fingerprint-based check) and/or other personally-identifiable information to the Agency so that the Agency can perform the criminal history searches.

 

Payment Card Information

 

We collect credit or debit card information and the signature of the payor for the purposes of processing payment for the services that we render.  Except as otherwise described in this policy, we do not use or disclose payment card-related information for any other purpose.

 

Results of the criminal history search

 

Once the criminal history search has been performed, the Agency will distribute the criminal history search results directly to you, or to an organization or individual that you designate.  C5 ID is not involved in the distribution of the criminal history search results, nor do we receive a copy of the results of criminal history searches unless specifically instructed by you.

 

We will not disclose, rent, sell, or otherwise transfer your personal information without your consent, except as otherwise set out in this Privacy Statement. 

 

Third Party Processing Agents 

 

From time to time, we may engage third party service providers such as police departments to assist in processing criminal history searches and/or to transmit information to an Agency in order to conduct criminal history searches.  In such instances we may disclose personal information to the third party service provider that is necessary for the performance of the criminal history search.

 

Payment by a Third Party 

 

In circumstances where a third party (e.g. a prospective employer) will be paying for the services that we render to you, your name and other identifying information may be provided to the third party for the purposes of confirming that we have performed the services and for processing payment for those services.

 

Sale of Business 

 

C5 ID reserves the right to transfer any personal information we have about an individual in the event of a merger with a third party, a reorganization, or upon a sale or transfer of all or a portion of the C5 ID’s business or assets to a third party acquirer.

 

Legal 

 

We may provide an individual’s personal information in response to a subpoena, search warrant, or other legally valid inquiry or order, or to an investigative body, or as otherwise required or permissible by law.

 

Security of Personal Information

 

The security of personal information is an important component of C5 ID’s service offering.  C5 ID has implemented certain physical, technical and administrative safeguards in an effort to protect against unauthorized access, use, modification and disclosure of personal information in our custody and control.  We may retain the fingerprints, other personal information, and photocopies of any identification cards for only as long as required to comply with requirements imposed upon us by the RCMP and other Agencies.

 

Accessing and Correcting your Personal Information

 

If you wish to access the personal information that the Company has about you, or to correct factual errors in our records, please contact us as set out in the “How to Contact us” section below.  Please note, however, that, unless specifically requested by you, we do not obtain a copy of your criminal history, nor can we correct any inaccuracies that appear on your criminal history.  If you find inaccuracies or errors in the results of your criminal history search, you can request a correction of this information under the Privacy Act (Canada) through your local police station.

 

To protect your privacy, we will take reasonable steps to help verify your identity before granting access or making corrections to the personal information that we have.

 

Changes to this Privacy Statement

 

This Privacy Statement may be updated periodically to reflect changes to our personal information practices. The revised Privacy Statement will be posted on this website.  Please check back periodically to review this policy.
